Exporting the FCPS Calendar to Microsoft Outlook
This step-by-step guide is designed to walk the user through transferring interactive calendar events on the FCPS website to a home computer.
 
The steps described in this guide are intended for Microsoft Outlook 2003, but are very similar to the steps used to import calendar events and information to other email programs that make use of interactive calendar technology.
 
NOTE - Dates and times listed on the interactive calendar are subject to change at anytime. Changes to a date or time on the interactive calendar will not automatically update the events exported to a user's Outlook account. For example: a Board of Education meeting scheduled to start that day at 6 pm may be cancelled but this cancellation announcement will not appear on the Outlook calendar. The user must import the new interactive calendar changes and updates to view the changes in Outlook.

  1. Select the CALENDAR icon located at the top-right corner of the FCPS website (circled in red in the image above). This will take the user to the Calendar page.

  1. Select the third (bottom) calendar option labeled: INTERACTIVE CALENDAR (circled in red in the image above). This will take the user to the INTERACTIVE CALENDAR page.

  1. The current month will be displayed in a “month” format. For a list of calendar options, please see the FCPS Interactive Calendar Guide.
  2. Select the FILTER OPTIONS option listed at the top-left corner of the calendar (circled in red in the image above).

  1. Clicking on the FILTER option brings up a list of different categories of announcements and events. By default, every box has been selected. This means that the calendar is currently displaying all known announcements and events.
  2. Remove the check marks from the boxes of unwanted categories by clicking on each undesired box category.
  3. After selecting the appropriate categories click the FILTER button located below the check boxes.
  4. The calendar will reload with only the content you have selected. To change your selection, click on the Filter Options link, select your new categories, and click the FILTER button when finished.

  1. Select the EXPORT option from the calendar toolbar located above the interactive calendar (circle in red in the image above). The web browser will launch a “pop-up” window to select the dates to export. If the window does not launch after selecting the EXPORT option, check the web browsers “pop-up blocker” settings (see your web browser’s help menu for more information on changing security settings).

  1. In the pop-up window, select the starting date and ending date for the portion of the calendar to be exported by clicking on the calendar icons (circled in red on the image above).

  1. After selecting the start and end dates, click the EXPORT button.

  1. A download window will be displayed with several options (OPEN, SAVE, CANCEL).
  2. Click SAVE.

  1. A SAVE-AS window will appear to allow the user to choose where to save the file – it does not matter where the file is saved.

{Outlook}

  1. Open Microsoft Outlook. - under the Start Menu
  2. Under FILE, select the IMPORT AND EXPORT option. This will launch the IMPORT AND EXPORT WIZARD.

  1. Highlight the IMPORT AN ICALENDAR OR VCALENDAR FILE (.VCS) option and click the NEXT button. A browser window will be displayed to allow the user to find and select the file to import.

  1. Click on the arrow pointing down under FILES OF TYPE to reveal a down-drop menu.
  2. Select VCALENDAR FORMAT (*.VCS).

  1. Using the browse window, navigate to and select the calendar file exported from the FCPS site and click OK.

{Finished}

  1. The exported content from the FCPS Interactive Calendar will now be integrated into the Outlook calendar.
